Catch the Bait — Vendor Change Control

In development · Discovery conversations open

Give supplier changes
a clear checking
process.

Managed supplier payment-change checks.

The proposed monthly service would manage follow-up and review change records around independent checks and a second customer approval. New suppliers and changed payment details enter the process because of the event itself.

How it would work

From request
to a current action record.

  1. Capture the event and exact instructions.

Identify the supplier, source event and immutable instruction version in a supported financial platform.

  2. Your team checks through an independent route.

A designated customer person uses a previously established contact or separately validated route. A new number in the request is insufficient.

  3. A different customer person reviews.

The reviewer examines the check and business approval for that exact version. Any material change requires fresh checks and review.

  4. Your business applies its payment controls.

The current instructions must match the reviewed version. Invoice approval and payment release remain your responsibility.

  5. Catch the Bait follows up and reconciles.

Compare complete source logs with cases weekly, record missing evidence and bypasses, and keep next actions visible. Weekly reconciliation finds gaps after they happened; it is not real-time prevention.

A clear division of work

What each person owns.

Catch the Bait

Proposed workflow administration, weekly reconciliation, missing-evidence follow-up, exception records and a monthly action report. Role/contact changes require customer approval.

Your finance team

Independent verification, a distinct reviewer, accurate records, native permissions, invoice decisions and payment authority.

The selected provider

Only the verification, versioning and enforcement functions supported by its actual product and contract. No provider or integration is selected yet.

The monthly work being designed

More than
a report in your inbox.

  • Weekly comparison of every in-scope source change with its case and evidence.
  • Business-day follow-up on missing evidence and overdue actions within an agreed allowance.
  • An exception register with named owners, due dates and resolution evidence.
  • Customer-approved review of contacts, roles and procedures.
  • One monthly action report, plus short guidance for newly assigned staff.

A month with no changes still needs a complete zero-change reconciliation. Repeated quiet months are a reason to revisit whether management is worthwhile.

Scope and price

A complete quote
before a commitment.

The planned purchase is monthly management, with defined setup. A quote would show the Catch the Bait fee plus every mandatory platform and verification charge, your team’s work and any agreed extra administration.

Scope, pricing and delivery capacity are being tested. No subscription is for sale yet. Provider contracts may have their own terms; month-to-month availability cannot be assumed.

Live workshops are optional additions. Existing employee training remains a separate offer.

Before a live pilot

Confirm fit and recurring activity, two distinct customer control roles, complete source history, an approved provider configuration, qualified review and a workable support/backup arrangement.

No live supplier or bank data belongs in the demonstration. Support hours and commercial terms will be agreed before any pilot.

Straight answers

Before we talk.

Does this guarantee a payment is safe?

No. A documented check or a bank-ownership result does not establish that an invoice is genuine or owed. This proposed service has a narrow supplier-change scope.

What if our software already does this?

We should compare it. The proposed management fee must earn its place through reconciliation and follow-up your team would otherwise own. A well-managed native process may be enough.

What happens if records are missing?

Coverage is unknown. The source gap needs an owner and follow-up. Marking it unresolved does not satisfy a complete reconciliation or expansion gate.

Will Catch the Bait handle our money?

No. Your authorized staff keep verification, business approvals and payment release in your financial system.

Can we use it now?

You can explore the synthetic demonstration and discuss your workflow. Live managed cases need buyer validation, a supported platform and qualified review first.

A local person. A specific question.

Who owns the
supplier-change follow-up?

If you run a Southwest Florida remodeling or construction office, I’d like to learn how your process works. We can look at the fictional example in a free 15-minute conversation.
